Know which fire record you are reading.
A commercial fire file may contain official response information, investigation material and separate property assessments. Each document should be understood on its own terms before it is used to answer a claim question.
Scottsdale's fire-record resources distinguish incident reports, investigation records and photographs; not every record exists for every event. Read the city's record-request information and record descriptions.
Do not assume that an incident report is a complete smoke-damage assessment or that an investigation file is available. This website does not submit a request or interpret a fire investigation.
Organize the affected property by purpose and assessor.
For a business, multifamily property or association, use an asset-and-area register to identify which records address which part of the loss.
- Building components: the areas assessed and the stated basis for proposed work.
- Equipment and inventory: descriptions and available supporting records, kept distinct from building estimates.
- Shared systems: the actual system and the professional assessment, without an ownership assumption.
- Units or suites: consistent location references and remaining assessment questions.
- Official records: report type, date and incident reference where available.
Make the limits of each document visible.
Ask what the record actually establishes: a response, an observation, a proposed repair, or a specific professional conclusion. If contents or certain spaces were outside its scope, retain that limitation rather than treating silence as a finding.
Keep operating disruption and relevant expense records separately for policy review. Reopening, remediation outcomes and insurance payments cannot be promised by this page. Follow the appropriate authorities and qualified professionals for safety and access decisions.
Questions worth asking.
Will an official incident report list every affected commercial asset?
Not necessarily. Confirm the report's scope and purpose. Building components, contents and systems may be addressed in separate professional assessments.
